Burnie Brae: a clearer path from invoice to claim

Bringing two invoice-processing streams into one DocuWare workflow helped Burnie Brae reduce manual handling and prepare funding claims sooner.

Burnie Brae supports older Australians through community and home-care services. Behind that work, accurate invoice processing and timely funding claims are important parts of keeping operations running smoothly.

The organisation had two separate invoice-processing streams, with four people handling work that was largely manual. Bringing those processes together offered an opportunity to improve visibility and make better use of the team’s time.

One workflow for a shared task

ion worked with Burnie Brae to develop a DocuWare roadmap and a more centralised approach to invoice processing.

A key requirement was matching the right health-care codes to the right invoices. This information matters when preparing claims, so accuracy was as important as processing speed.

The solution brought the two streams onto one platform and reduced the amount of manual handling needed to prepare invoices and supporting information.

More capacity and faster claims

In its 2026 case-study interview, Burnie Brae reported a saving equivalent to 1.6 full-time roles in processing effort. This represents capacity released from the task, rather than a statement about staffing changes.

The team also reported being able to prepare and submit the relevant claims in three or four days, compared with more than a week previously. Better code matching and a clearer process helped reduce pressure around the end-of-month cycle.

A foundation for further improvement

With the invoice workflow in use, Burnie Brae began discussing other opportunities with ion, including contract management and finance processes. These were potential next steps in the source interview, rather than completed implementations.

The starting point remained practical: understand the work, connect the information and give the team a more consistent way to complete it.
